For those who don't have a professional facilitator running short, sharp, productive meetings here are some tips to stop the waste. Heads up... speak up, change company meetings.
Only have them on certain days. Example, Tuesday and Thursday, every other day is a productive day. Then start "no email" Mondays, Wednesdays and Fridays. Be more productive. Then, when you get the hang of it, introduce a one day a week company meeting policy. The rest of the week is for more meaningful and valuable work. Your colleagues will love you for it. You know they will.
My email tips, only read email morning and afternoon if you must, turn it off in between. If it’s urgent tell people in your auto responder or signature block that your busy doing something very important and that email has taken a lower priority. Give them an alternative to call you at certain times. Let go of ego, you don't need to know everything. Make people accountable and stop them passing the buck. Stop workplace theft.
My Tips for running meetings that don't waste time.
Dialogue: What messages need to be heard by staff that will focus their inputs into the company strategy?
Decisions: What decisions need to be made at the meeting?
Do: Who is responsible for the actions resulting from the meeting
Done: Confirm what was discussed and agreed to and when it will be done.
Defer: Defer any side discussions off track dialogue for another time
